Steps to Follow After Becoming an Internship Mobility Candidate:
Learning Agreement for Traineeships (LAT)
The Learning Agreement must be prepared with great care and diligence. Before having it signed by the host institution, it must be sent to both the Department Coordinator and the Institutional Coordinator for review.
Letter of Intent: This must be prepared on the host institution’s official letterhead, signed, stamped, and dated. The provided template is a sample, and the host institution may make necessary changes.
Internship Information Form: To be filled out once the internship placement is finalized. The completed form should be sent to erasmus@kafkas.edu.tr.
Procedures and Documents to be Submitted to the Erasmus Coordination Office After Starting the Process:

Copy of Diploma (for graduated students)
Board of Directors Decision: For students with a mandatory internship, to be obtained from their respective departments.
Institute Approval Letter: For Master’s/PhD students (The internship acceptance letter and signed LAT shall be submitted to the department by the student, and the department will forward the letter to the relevant Institute).
Euro Account Number: Opened at the Ziraat Bank Kars branch (including the IBAN code).
Copy of Travel-Health Insurance: In English (a scanned copy can be sent to erasmus@kafkas.edu.tr).
AT11 Document: For countries where the AT11 application is valid, students must apply to the Social Security Institution (SGK) with a letter obtained from the Erasmus Coordination Office and submit a copy of the resulting document to the office.
Personal Liability Insurance (Civil Liability Insurance)
Accident Insurance
Visa Copy: A photocopy of the visa page after it is obtained.
OLS – Online Language Support: Students must take the online language assessment before starting and after completing the internship.
In Case of Changes or Extension of the Internship Period:
In the Learning Agreement for Traineeships (LAT), the section titled "Section to be completed DURING THE MOBILITY" must be used:
In case of changes in the internship content or duration, it must be prepared within one month after the start of the internship.
In case of an extension of the internship duration, it must be prepared, approved by all parties, signed, and sent to the Erasmus Coordination Office one month before the original end date.
Documents to be Obtained from the Host Institution at the End of the Internship:
Section to be Completed AFTER THE MOBILITY: This part of the LAT must be filled out, signed, and stamped by the host institution after the activity is completed and then submitted to the Erasmus Coordination Office.
Certificate of Attendance: In addition to the document above, a Certificate of Attendance may be obtained. This is a sample, and the host institution may use its own certificate or make changes. It must be on the institution’s official letterhead, signed, and stamped.
Student Evaluation Form: This form must be filled out by the supervisor/mentor at the host institution and sent directly to erasmus@kafkas.edu.tr by the supervisor.
Procedures After Returning from the Internship:
Student Report: A written report in essay format sharing your experiences, work performed, social activities, and any challenges faced. To be sent to erasmus@kafkas.edu.tr.
Passport: Photocopies of the pages showing entry and exit stamps.
Photographs: A few photos taken at the internship site or during social events should be sent to erasmus@kafkas.edu.tr.
Board Decision on Recognition: For students with mandatory internships who wish to have their abroad internship count toward their department requirements. For Master’s/PhD students, a return board decision is required to recognize the ECTS specified in the pre-departure board decision.
OLS – Online Language Support: Completion of the final online language assessment.
Online Final Report: After all documents are submitted, the Erasmus Coordination Office will enter the mobility data into the Mobility Tool. The student will then receive an email to fill out the Online Final Report. Once completed, the student must notify the Erasmus Coordination Office via email.
